How to Replace an Epson Ink Cartridge

Epson offers a wide range of different models designed to meet the needs of your business or personal printing. They offer printers with all-in-one, image quality, and fast laser with monochrome and color. Epson printers are very different in that no two models are designed to work in the same way, or the same product lines will share pieces of material intended to promote their intended use. The same applies to Epson’s cartridge ink cartridges, which vary in size and shape, although they usually rotate around the same size and shape – thin, long, and rectangular. Installing new printer cartridges on Epson printers is a good idea. I will talk about this process using the Epson Workforce printer WF-3640, which uses the popular Epson 252 ink cartridge, as my example. If any action does not match what you see with your model, contact your owner’s manual for specific details and instructions.

1. Testing Ink Levels

If your printer does not require you to install additional cartridges and would like to know which cartridges need to be replaced, you can check your printer ink levels by following these steps:

  • First, press the Home Button (HOUSE icon).
  • Go to the Setup and press the OK button.
  • You will see Ink levels as the first option, so just hit the OK button.
  • You can now see the ink levels of your printer on the LCD screen.

2. Installing new Epson Ink Cartridges

Before you begin, you must carry your replacement cartridges before removing them empty. Leaving your print head exposed in the open air can lead to clogs that are difficult to clean, and there may be a need for replacement.

  • Turn on your printer unit with the help of the power button.
  • If you already have empty cartridges, you will see a message on your LCD screen noting which cartridges need to be replaced. Click on “CONTINUE” and follow the instructions on the screen.
  1. If you change the shell before it is empty:
  2. Press the Home button (HOUSE ICON).
  3. Go to Setup and hit OK.
  4. Scroll to maintenance and hit OK.
  • Scroll to Ink Cartridge Replacement and press OK.
  • Lift the scanner unit (not just the scanner cover) to expose the ink cartridges.
  • Wait for the print head to stop before removing the cartridges.

IMPORTANT: Do not touch the printhead and the flat white cable inside the printer.

  • Press the tab on the back of the cartridge you want to return to you and drag the cartridge straight up. It should slide out easily with very little navigation. Be careful when handling used shells, as leftover ink residues may contaminate your clothes, furniture, carpet, or hands. If you find ink on your hands, wash them thoroughly with soap and water. In case the ink spills your eye, spray it with cool water until it is clean. Finally, keep cardboard ink so that children do not have access to all of the reasons listed above.


  • Gently move your shell back and forth four or five times while it is in its closed lane. Movement helps to redistribute the ink throughout the cover once it has stabilized.
  • Would you please remove it from the plastic pocket?
  • Remove the yellow tape that covers the cartridge. The yellow tab is the only thing you should delete. DO NOT leave with anything else.
  • Do not remove any marks as this will lead to leaks.
  • Do not touch the green chip in the cartridge.
  • Do not remove the label.
  • Insert the cartridge straight into the cart until you click. Then, repeat the process for some cartridges that need to be replaced.
  • Close the shell cover. Select “CHECK” on the LCD screen to make sure the shell is installed correctly. If so, close the body of the scanner.
  • Your printer unit will automatically start renewing the new cartridge. The recommendation should take a few minutes. When you’re done, you’ll see a message on your LCD screen saying your printer is ready to print!

It is important to note that the installation instructions for certain Epson inkjet printers may differ but will follow the same basic steps. For example, you can use the instructions above when installing Epson 200 cartridges in Epson Expression XP-310, XP-300, XP-400, and XP-410, Epson 220 cartridges Epson Expression XP-320, XP-420, XP-424, WorkForce WF-2630, WF-2650, WF-2660, WF-2750, WF-2760 printers.

3. Replacing the redesigned Epson Cartridge

Redesigned and compatible cartridges come with chips designed to mimic those original product name cartridges in T. In most cases, installing your existing ink cabbage with a recycled or compatible shell involves the same process as listed above, and your cover will be known without removal. However, at some point, you will encounter connection problems that can usually be fixed with a few simple steps. The most common error message you will see when inserting a compatible cartridge is the one that reads “Low” or “Empty,” as if you did not simply insert a new entire shell. This message usually appears when you enter a unique product name for the cartridge sometimes, too, because your printer does not read the new chip in the cartridge. Poor reading will occur when there is ink already in place and when the printer needs to be “reset.” Here’s how to do it:

  • Remove the shell carefully. Remember, the source is open ink and can be spilled, so you want to avoid taking it out of the printer’s head suddenly. Use a Q-tip or blank cloth to clean the gold chip in your cartridge. This chip is very sensitive – traces of ink or dust can prevent it from interacting with the printer cleanly, exposing flaws.
  • Enable your printer and remove it from the wall for at least fifteen seconds. Wait for the printer to start, which may take a few seconds, then reload your fresh cartridge back to the printer.
  • If you are still having problems getting your printer to see your shell, there are a few other options:
  • First, find a software solution. Using a freeware program called SSC Service Utility, users can reset ink cartridges from their desktops. You can also hold an internal ink calculator, which helps you remove all the ink from each cartridge. SSC Service Utility operates with more than 100 Epson models.
  • Another option is to purchase a cartridge reset tool. This inexpensive and easy-to-use device acts as a virtual connector between your cartridge chip and printer to provide refurbished and refilled cartridges’ digital footprint for the new shell.


4. Replenishing EcoTank Ink

Another technology that separates Epson from the competition is EcoTank. Available in many printer models, EcoTank printers draw ink on filling tanks instead of replaceable cardboard. They are designed to be cheaper than similar club-based printer models and make less waste from used cardboard (hence the “Eco-“). Filling the tank is easy, but there are some procedures to be aware of before starting:

  • As mentioned above, avoid contact with your skin. If you find ink on your hands, wash them thoroughly with soap and water. When ink gets into your eyes, spray them with cool water. In case you find ink in your mouth, pour it out and consult a doctor.
  • Epson does not recommend using ink that is not designed for your particular printer model. While this recommendation is designed to remove external inks, I suggest making sure the ink you use is the right choice for an inkjet printer. Using ink intended for other types of printing will clog your print head and give you lousy printing results.
  • Replenishing EcoTank in the Epson Workforce ET 4500 is quick and easy. Here’s how to get started:
  • Wear disposable gloves to avoid getting your hands dirty. Keep wet paper towels in writing, and, in the event of a spill, wipe the ink immediately to prevent permanent damage. If ink gets into your clothes, they may not come out, no matter how much you wash them.
  • Place the paper under your printer to prevent ink splatter or spillage from entering your desk or floor.
  • Open the lid of the ink tank. Each ink pot has a key that allows you to open the source. Remove the cap and place it on the EcoTank holder. Please DO NOT put it on your desk (or, worse, your pants) as it may have ink on it.
  • Remove the tip from your new ink bottle and set it aside. Don’t lose track of it, though – you can replace it to save your remaining ink in the future. If your ink bottle is closed under the cap, carefully remove the lid and remove the plastic seal. Replace the cap, and you’re ready to start filling.
  • Fill the ink tank with each color to the top line of the ink tank. In ET 4500, the colors go left to right Cyan> Magenta> Yellow> Black.
  • Put a cap on your ink bottle to keep the remaining ink. Place the bottle in a cool, dark place, and leave it upright.
  • Put a cap on the ink tank and repeat each color as needed.
  • Close the cover, and you’re ready to print again!

Some EcoTank models use Ink Supply Packs over individual tanks, such as the R4640 model. This versatility of the ink solution in bulk creates less waste and reduces the potential for catastrophic ink spills. Here’s how to apply the packaging:

  • When your ink pack is low or empty, a notification will appear on your LCD screen indicating which ones need to be replaced. The colors of each ink have their custom handbags.
  • Open a separate room to expose the ink packets. Press the handle on the ink bag you are changing, and it will appear.
  • Hold the handle and lift the bag straight up to remove it from the ink case.
  • Remove the new ink box and remove any protective items. Be sure not to touch the green chip in the grip area. Move the ink pack back and forth twenty times. Do not remove any labels or markers, as the ink may leak out.
  • Put a packet in this case, making sure that the bottom of the ink bag fits into the base.
  • Slide the handle on the ink pack on it. Press the handle until it clicks into the place.
  • Press “Check” on the LCD screen to make sure the ink packets are correctly inserted.
  • Close the ink case, and you’re ready to print!

5. How to Save and Print More with Epson Printer

If you look at the customer reviews of Epson printers, you will see that most of them mean the same thing: that Epson printers use the ink quickly, and Epson ink is expensive. However, at the same time, Epson’s new cartridge ink cartridges are cheaper and have a lower number of pages per shell, making each page’s cost still higher than average. So now what to do with this problem?

Consumers have been moving to the latest developments due to price differences (up to 77% cheaper than the original Epson cartridge prices) and because of the quality, these other cartridges bring. The aftermarket ink cartridge industry has been around for more than a decade. It has dramatically improved its testing procedures now that ensure compatible cartridges can deliver almost indistinguishable printed output.
